The system for scheduling appointments to obtain documents is changing for Ukrainians in Poland and Italy

Ukrainian "Passport Service" centers in Poland and Italy are switching to a new appointment system via the "Diya" app, which is intended to streamline the reception of citizens and reduce lines. In some cities, however, a limited number of "walk-in" slots will remain available. The state-owned enterprise "Document" announced this on Facebook.

 

State Enterprise “Document” announced that starting June 1, 2026, “Passport Service” centers in Poland and Italy will begin operating the new appointment system in test mode, with an electronic queue verified via “Diya.Signature” serving as the key tool. The company explains that this is a step toward a more controlled and predictable system for serving citizens abroad.

As noted in the announcement by the state-owned enterprise “Document,” in Italy (Milan), citizens will be served exclusively by prior appointment in the electronic queue, with no option for walk-ins, while in Polish cities—Warsaw, Wrocław, Gdańsk, and Kraków—a mixed format will be maintained, featuring both online booking and a limited “walk-in queue.”

 

The number of tickets for those arriving without an appointment is specified separately: 60 per day in Warsaw, 40 in Wrocław, and 30 each in Gdańsk and Kraków, which effectively sets clear limits on walk-in service.

“For your convenience, we recommend using the online appointment system on the website, which is continuously updated around the clock. This guarantees a visit at a specific time without the need to wait at the center,” emphasizes the State Enterprise “Document,” noting that the digital system is intended to reduce chaos and lines at service centers.

The agency also clarified that certain services, such as accepting documents for apostille, forwarding previously processed documents, and issuing completed passport documents, will continue to be provided without prior appointment, which should maintain the availability of basic services for citizens.

A new survey for military personnel regarding Ukrainian-made dry rations has been launched in the “Army+” app to understand how practical they are in real-world service conditions and what changes should be made to them.
