Ukrainians were reminded of the deadline for digitizing their employment records

The deadline for digitizing employment records in Ukraine is approaching. Citizens who have not yet submitted the relevant documents to the Pension Fund have until June 10, 2026, to do so electronically. Digitization is necessary to transfer employment history data to the electronic registry. This will simplify the tracking of insurance coverage, the processing of pensions, and the receipt of other social services in the future.

Documents can be submitted via the online portal of the Pension Fund of Ukraine or by contacting its regional offices. After the information is processed, the data from the paper employment record book will be entered into the state registry.

What changes as of June 10?

Back in 2021, Ukraine established a five-year transition period (specifically until June 10, 2026) to enter missing employment history information into the register of insured persons. After this date, the paper employment record book will no longer serve as the primary document for record-keeping, and priority will be given to electronic data.

Why might employment information be missing?

The fact is that work experience acquired before January 1, 2004, is confirmed by entries in the paper work record book.

In 2004, the system for recording pension rights in Ukraine effectively changed—the Law “On Compulsory State Pension Insurance” came into effect. Since then, pension eligibility has been determined not only by the fact of employment but also by the payment of insurance contributions. Employers began submitting personalized reports for each employee to the Pension Fund of Ukraine, and this data began accumulating in an electronic registry.

Therefore, work experience acquired since 2004 is already stored in the electronic registry based on employers’ reports, so there is no need to digitize it separately.
