The digitization of employment records will end on June 10: what you need to know

Ukrainians who are currently employed are advised to digitize their paper employment records by June 10, 2026. At the same time, the Pension Fund emphasizes that even after this date, their insurance record will not be lost.

The Pension Fund of Ukraine explains that submitting scanned copies of employment records is primarily necessary for citizens who began working before January 1, 2004.

Digitization allows for the transfer of employment history information to an electronic registry and simplifies the subsequent processing of pension payments.

Both the employee and their employer can handle the digitization of the employment record book.

To do this, you need to upload scanned copies of the documents via the Pension Fund of Ukraine’s web portal.

You can check the status of your electronic work record book in your personal account on the PFU portal.

To do this, go to the “Electronic Employment Record Book” section, check for uploaded documents in the “Scanned Copies of the Employment Record Book” tab, and view the processing results and entered data in the “Digitized EERB” tab.

If the paper work record book is missing or lost, you can confirm your work history using other official documents.

In particular, the following are suitable for this purpose:

  • employment contracts;
  • certificates from the place of employment;
  • excerpts from orders;
  • pay stubs.

If the company was located in a temporarily occupied territory or in a combat zone and the archives were destroyed, the length of service may be confirmed by witnesses.

In such cases, testimony is required from at least two individuals who worked alongside the applicant during the same period and can provide their own documents confirming this fact.

The Pension Fund emphasizes that the opportunity to submit documents will not disappear after the deadline has passed.

The PFU will continue to accept scanned copies of employment records and other documents to confirm work history.

The Fund emphasizes: “If a paper work record book has not been digitized by June 10, 2026, the insurance record will not be lost.”

Thus, citizens will be able to complete the digitization process or confirm their work history even after the specified deadline.

The deadline for digitizing employment records in Ukraine is approaching. By June 10, 2026, citizens who have not yet submitted the relevant documents to the Pension Fund have the opportunity to do so electronically. Digitization is necessary to transfer information about employment history to the electronic registry. This will simplify the tracking of insurance history, the processing of pensions, and the receipt of other social services in the future.
