Documents for retirement that should be scanned in advance: a list
To apply for an insurance pension, your insurance record—as documented in your employment record book—is taken into account. However, work experience acquired before 2004 requires additional proof; therefore, in addition to your employment record book, it is recommended that you digitize and upload other important documents in advance.
Service acquired after January 1, 2004, is calculated based on data from the register of insured persons in the State Register of Compulsory State Social Insurance.
However, periods of employment prior to this date must be documented, primarily through the employment record book issued upon first official employment.
At the same time, the Pension Fund emphasizes that to ensure full accounting of work experience in the electronic employment record book, a number of additional documents should be uploaded.
These include:
documents of full-time education with attachments
military ID with service records
child’s birth certificate,
documents regarding a change of surname,
as well as certificates of preferential or special service.
Experts explain that the absence of some supporting documents may affect the completeness of the calculation of insurance service when applying for a pension.

The Pension Fund will continue digitizing employment records after June 10.
The process of digitizing employment records is underway in Ukraine and is scheduled to be completed by June 10, 2026.
